SMS TEMPLATE

The SMS Template Creation Form is designed to streamline the process of creating and managing SMS templates. This form allows users to define the structure and content of messages that will be sent through the system, including various dynamic variables to personalize each communication.

Precondition

The user must be logged in with valid credentials. A Process, Dataset, and MetaData must be linked to Stages with the SMS required fields enabled at each stage.

Steps to Create SMS Template

Step 1: Access SMS Template Section

  • Click on Alchemy in the left menu.
  • Then click on SMS Template.

Step 2: Click on the "Create" Button

Located at the top-right corner of the SMS Template page.

Step 3: Process Selection

  • Process: Select the primary process for which the SMS template is being created.
  • Sub Process: Choose the relevant sub-process associated with the primary process.
  • Sub Sub Process: Select the sub sub-process related to the selected sub-process.
  • Stages: Select the stage of the process where the SMS template should be triggered.

Step 4: Template Details

  • API Key Name: Select the API key from the dropdown menu.
  • Template Name: Provide a unique name for the SMS template.
  • Disposition: Specify the disposition related to the message.
  • From Number: Enter the number from which the SMS should be sent.
  • To Number Source: Choose the source:
    • From Stage Fields (for customers)
    • From System Names (for internal communication)
    • Manual
  • To Number: Select the recipient number option.
  • Message: Type the required SMS message.
  • Use variables inside double curly brackets for dynamic content.
  • Remarks: Add any additional notes regarding the message.

Step 5: Template Variables

Define variables to be used in the SMS content.

  • Template Variable Name: The variable name matching the stage field.
  • Stage Field Name: Select the associated stage field.
  • Default Value: The fallback value if no dynamic value is found.
  • Add/Delete Row: Use the plus icon to add or the delete icon to remove a row.

Step 6: Final Actions

  • Create: Click to save and create the SMS template.
  • Cancel: Discard changes and exit the form.

View or Search Created Templates

  • View: Created templates will be listed with their associated Process, Sub Process, Sub Sub Process, and Stage.
  • Search: Use the search bar to quickly find templates by name or stage.

Delete

Click the Delete Icon next to a template to remove it.

Edit

Click the Edit Icon to modify a template. Make necessary changes and save to update.

Send SMS Template (Stage Fields)

When on the Audit page, SMS icons are displayed if enabled in the stage configuration.

Step 1: Click the "SMS" Icon.

Step 2: A popup will open. Select the template name from the dropdown.

Step 3: Click on Send to dispatch the SMS.

Step 4: Scroll down the Audit Trail. The SMS entry will appear if enabled in the stage actions toggle.

Step 5: Click on the sent SMS log to review the details.

Send SMS Template (System Names)

Step 1: Navigate to Workflow Design > Stages.

Step 2: Click the Disposition Icon.

Step 3: Select Process and Disposition Question Set.

Note: If the desired disposition question is unavailable, it must be added via Disposition

Step 4: Save the process. The tab will expand.

Step 5: Click the Auto SMS Mapping Icon.

A form will open.

Step 6: Select the template from the dropdown.

Step 7: Click Save.

Step 8: To verify, click the icon again. The template name will be displayed.
